Information Technology in Today’s Business Setup

October 31, 2009

Gone are the days when one had to send a letter, give it a week for delivery and patiently wait for another two weeks before getting a response. Taking an example of a business setup that has branches in other towns, a network of computers with internet access and other customized programs would ensure quick communication and timely responses to important queries.

At my first work place, I implemented an online payroll system which allowed users to view their pay slips at their convenience, search for old pay slips, submit their time cards and print only the details they needed. Earlier on, the same documents had to be printed, manually put into envelopes and dispatched to various branches via paid courier service. These then had to be manually sorted out at the recipient’s end causing a delay and misplacement of some documents.

I have also seen the intranet working wonders in many organizations. If well managed, the intranet can hold all the information that the company would like to share its employees. Suppose the managing director wants to send a memo to the whole organization, instead of pinning the printed information on physical notice boards, he can post the same on the intranet and have all employees read the information at the click of a mouse.

Other kinds of information such as sales targets, company performance, appraisal targets, company’s product information, telephone directory, photo gallery for various events and anything else that one would like to share can be posted on the intranet.

Notebook for the Business User

October 29, 2009

Notebook is a fantastic business tool, especially since modern businesses requires global accessibility which means, for many, a lot of travel.

The notebook is designed to provide optimum technical performance whilst being compact, transportable and user friendly. However, the intended use of the device will affect which type is right for you. Many people are surprised to find that the notebook of their choice does not quite work to their advantage as expected. If used solely for business then the device chosen needs to be able to deal with a high level of information, produce reports, have internet access and be compact and portable. These are standard features, but the shape, size and built in attachments can affect the productivity. The notebook is only an effective tool if it meets the requirements of its user.

If the notebook needs to be mobile for business trips then weight is certainly an issue. The larger the screen chosen then the larger the device in general. This will make the item heavier and more difficult to transport. Decide whether the screen size is really an issue. If you use the notebook for presentations, it is unlikely that these will be presented direct from it. It can be linked up to a screen for better viewing, requiring only the addition of a video output jack. For personal use, a smaller 12 to 14 inch screen should be more than sufficient, and will certainly keep the weight to a minimum. It will also make it more compact and so much easier to transport; especially on aircraft.

Six Sigma For Information Technology (IT) Projects

October 28, 2009

In most IT companies, Six Sigma is being implemented in the core processes such as product development and maintenance. Six Sigma helps by eliminating errors during the product development process, which in turn drastically reduces the probability that the product will not find favor with client needs and requirements.

Many IT companies that have successfully deployed Six Sigma are reaping the associated benefits that come in the form of reduced product redevelopment costs and a drastic improvement in the customer satisfaction levels and brand equity.

Six Sigma Tools and Techniques Employed By IT Companies

IT companies utilize a wide variety of Six Sigma tools and techniques, but if we were to name the most commonly utilized tool, it would certainly be the Failure Mode and Effects Analysis (FMEA). Most IT companies are employing this tool because it can be used for the effective management of almost all the core IT processes such as new product development, product redevelopment and enhancements and product maintenance.

This tool works by identifying potential errors and bugs that might surface when the product is finally delivered to the client or end-user. This gives IT companies enough time to take corrective action as might be necessary for reducing the probability of bugs and errors.
